Adaptability is one of the biggest challenges for businesses when they face unforeseen circumstances. Therefore, an instant hit is any system or solution that offers optimal adaptability, continuity, and least disruption. Hybrid working environments are likely to be the norm in the future. One technology that has played a catalyst in this changing scenario is VOIP systems. They have allowed businesses to pull themselves together and continue as close to normal as possible.

What is a VOIP system
Voice over Internet Protocol (VOIP) is a technology that allows you to call a phone using a broadband, cellular, or WiFi connection. You can also transfer media and share files. Depending on the service, you can either call people using the same VOIP service, any other VOIP service, or analog telephone numbers. Depending on the service, you will be able to call local, cellular, international numbers. You may need a special VOIP phone, while some VOIP services can work on your laptop. Some VOIP services can be integrated with your regular phone using a VOIP adapter.

Understand the needs of your business. Decide on the type of number and how many numbers you need. Some may need a toll-free number, while global companies may require a combination of a toll-free number, local, and international numbers. Assess the number of outgoing calls and the number of calls you are likely to receive. Do you need a router? Can the VOIP be accessed in multiple locations where my staff work from? Does the VOIP have the capacity to host meetings and allow the continuous streaming of videos and presentations? Will it enable quick and seamless transfer of media? Does the system have the ability to integrate with my existing business products and solutions?

Types of VOIP systems
There are three major VOIP systems available.

  1. Software VOIP
    The VOIP is based on a software application and can be used from your laptop or mobile. The most popular being Skype. They are cheap and ideal for small businesses and start-ups. However, not all such systems are reliable.
  2. Self-hosted VOIP
    These VOIP systems can be installed in-house within the company’s premises. If your budget allows it and you need a system that allows huge amounts of incoming and outgoing calls and conference calls, it would be ideal to have a self-hosted VOIP for your organization. It will save you from watching over call charges and call time whenever you do international calls.
  3. Hosted VOIP
    Hosted VOIP is ideal for small and medium-sized businesses where the VOIP company moves your existing phone system to the cloud saving you from the cost of investing in such systems. Every phone, laptop can be connected from your office or even remotely once you have an internet connection.

Plans and pricing
VOIP systems and services are considerably less expensive than traditional telephone hardware. If you choose a domestic plan, international call rates will be high. Check the different features, add-ons, offers, and rebates of the multiple systems before deciding. For the same price, if a company offers a featured mobile app for remote workers or gives you access to integrate with fax and business SMS, go for it rather than a company that offers only calling services.

Security and reliability
You will be sharing crucial company information through the VOIP services. Verify the company’s security protocols and privacy protection tools to guarantee the safety of all business information. Read reviews and check for news, complaints, or lawsuits against the company before deciding.
